    What can I expect your appointment setters to be able to do?

    Speed To Lead Service:
    We have appointment setters monitoring your leads 24 hours a day. When a new lead comes in, we will phone them as soon as possible (usually within 5 minutes of them submitting their information) and try to book them in for an appointment.

    A study was conducted on how the conversion rate of a lead to appointment changes based on the time taken to contact the lead, you can see the results below:

    Immediate contact - 70% chance of conversion to appointment

    Within 15 minutes - 50% chance of conversion to appointment

    Appointment Confirmations:
    We do appointment confirmations to help reduce flakes. For example, if you have 5 leads booked in for appointments tomorrow, we can phone all 5 leads and confirm they are still available for their appointment tomorrow and if they aren’t, we can reschedule them for another time.


    Warm/Live Transfers:
    On top of booking appointments, we can also carry out warm/live transfers to your business. So if we are speaking to a warm lead who we have already qualified, we can warm / live transfer them to one of your sales team or your receptionist who can take it from there.

    What's the training process like?

    During your onboarding we work to create customized scripts and train our team of setters about your product or service. Every week we provide call stats reporting and review all previous over 1 min. calls to give ongoing training to improve their efficiency.

     

    All setters have a min. of 1 year inbound and outbound phone experience working in high volume call centers. We do ongoing English accent language and phone etiquette training requiring each rep to do 1 hour of training min. per week.

     

    Every setter has gone through our proprietary training program and has a standard of training to be hired as a 24/7 Setter and placed on any of our campaigns. We are continually optimizing our recruiting selection and training program to give you the best phone reps.

    What happens if the appointment setter don't perform or fails?

    We provide a satisfaction guarantee and will continue to work with your setters to be the best in the industry. If you are not happy within 30 days we will refund your setup fee.

     

    For setters that don’t perform well we can replace them with one of our other highly trained setters. We’ll work with them 1-on-1 weekly to improve their transfer and call ratios and if there is no significant improvement we assign a new setter to your campaign.

     

    Every setter assigned to your campaign report to a sales manager who monitors and reviews calls for their team of 5 setters. This way each setter gets direct attention and support.

    Are the appointment setters assigned to us and other companies?

    For companies under 200 leads per month we recommend our shared setter team which is our most cost effective program. For those companies who have higher lead volume we can manage a team of setters for you or place them into your business directly for you to manage.

     

    Your company is assigned specific setters during their AM and PM shifts during specific times for your follow ups. Other specific campaigns (such as appointment confirmation and 24 hour answering) have a pool of highly trained setters that work across several companies' brands seamlessly.

     

    For larger lead volume companies who don’t currently have an opening or closing team we recommend starting with our shared setter program and scaling to eventually 2-3 person full time remote setters to transfer to a closer or the business owner’s calendar.

    What else should I know about your services before I sign up?

    Our Team Is Human:
    This means that occasionally mistakes are made and this should be expected. However, If you notice any mistakes (for example, a lead was booked into the wrong calendar or the setter mispronounced something, etc) obviously let us know straight away and we will make sure it is fixed moving forward.

     

    A Holistic View:

    Most of our calls will be great, but sometimes there may be a bad call. If you hear a bad call, make sure to let us know so we can address it on our end. However, please keep an overall view in mind. If we are improving your booking rate and saving you and your team time, then 1 call out of 100 being bad isn’t something to stress about. Focus on the overall benefits the calling team is bringing, not on individual calls. The goal is to remove the busy work of dialing your internet leads so you talk to transferred and qualified booked appointments instead of spending your time doing follow ups.

     

    Early Growing Pains:

    With any new service (especially one as in depth as this), some early problems may occur and this is expected. We are implementing a full 24/7 calling team with new software and multiple callers. There are a lot of moving parts so if you do notice any problems, let us know straight away and we will jump on it ASAP, but in the early stages, expect initial problems.

    How do I start and what are the terms?

    The credit card you put on file will be billed after the setup is completed and the monthly contract starts the day of the kick off

    All monthly fees are prepaid for the month

    SMS, phone minute, and other uses charges will be charged to credit card on file

    Contracts are 3 month terms, then month-to-month
